Trip Planning Process

When you book with ASM Essentials, you will get a personally curated experience that includes:

OUR PROCESS

Step 1: Consultation. The first step in our planning process is the consultation, during which we will discuss your desired travel destination, budget, travel dates, preferences, etc. The purpose of the consultation is for your travel advisor to understand your vision for your trip so it can come to life.

Step 2: Trip design. Next, your travel advisor will perform extensive research to design your custom vacation proposal. The proposal will include information about the recommended accommodations, amenities (if any), tours and activities (if applicable), and general logistical information (flights, ground transportation, etc.) related to your trip. You will also receive payment amounts, deadlines, and instructions for payment. The trip design process normally takes 7-10 business days to complete, depending on the complexity of the proposal.

Step 3: Proposal Delivery & Booking Your Trip. After you review the proposal, we can make any changes you like and confirm pricing before beginning the booking process.

  • Proposal review: You will have three (3) calendar days to review the proposal after delivery.
    • If no revisions are required: You will receive required forms to begin the booking process.
    • If revisions are required: You will have three (3) calendar days to review and approve the revisions after delivery and begin the booking process.
  • If your revised proposal is not approved or in a booking status in three (3) days, both the original and revised proposals are considered void and trip design services will cease.

The booking process begins by completing a Client Agreement Form and submitting a Credit Card Authorization form to make any payments toward your vacation. You’ll also review and accept the terms and conditions for booking. Once your first payment is processed and you receive your confirmation, you’ll get additional information about how to make subsequent payments toward your vacation.

Step 4: Final Itinerary Delivery. From the time you complete your booking, your travel advisor is in constant communication with an extensive network of partners to confirm the details of your trip. Once confirmed, you will receive your final itinerary and other trip documents (if applicable).

Step 5: Bon Voyage! Once you are on your way, your travel advisor will be available throughout your trip in case you need to reach out. However, your first point of contact is your guide (if applicable) or the in-location points of contact (this contact information will be provided to you in your final trip documents).
